City MANAGER/CITY COMMISSION
COMMUNICATIONS POLICY
PURPOSE:
To establish policy and procedures that will maximize
and ensure a continuing informational flow to the City
Commission on a regular basis.
Policy
1. Matters of Siqnificance
The City Manager is to communicate all matters of
significance, requiring City Commission action, to
each City Commissioner.
2. Communicate in advance
The City Manager is to, whenever possible must
communicate in advance each City Commissioner of
important announcements, important media releases
and significant press conferences by the City
Manager.

3. Personnel Matters
The City Manager will communicate all personnel
matters that are likely to stir public interest
directly to each City Commissioner.
4. Negotiations/Developments
Important negotiations/developments require the
Committee Chairperson most involved to communicate
directly to each City Commissioner. The Finance
Committee will coordinate Labor negotiations
5. Informational request
Any informational requests by City Commissioners
directed to the City Manager requires the City
Manager to communicate directly back to that
Commissioner with copies to all Commissioners.
Any other copies will be at the request of the
City Commissioners initiating the request.
City Commission request(s
The City Manager is to direct all written or
verbal request directed to the City
Commission/Commissioners through the city
Manager's office.
Procedures
1. Communications Time Allocation
All communications are to be made in a timely
fashion.
Affected Chairpersons
Communications will be made to all affected
Chairpersons, as appropriate.
Press Conference
Aspects of a press conference such as date, time,
and location will be at the general consensus of
the party making the request and/or the City
Commission.
Section B.4.

All significant developments require communication
on a regular basis as in section B.4.
Communications to Commissions
The City Manager’s office is to pass on
communications for the City Commission to the City
Commission without change or alteration.
Request by Commissions
Request by City Commissioner(s) to the City
Manager will be handled on priority basis.
a) An acknowledgment of the request shall be
returned in writing to the City
Commissioner(s), including a clear timetable
for a complete response, as appropriate.
The City Commissioner determines when the
request for information is satisfied. Then
and only then will the communication be
complete.
c) All communications will be professionally
respectful.
